Position Summary
We are seeking an experienced Executive Assistant / Executive Associate with a strong background in commercial real estate to support a dynamic broker team in Ontario, CA. This is a great opportunity for a detail-oriented professional with 3–5 years of paralegal or transaction management experience to contribute to one of the world’s leading real estate services firms.
You’ll work closely with senior brokers and legal teams to manage transaction documents, conduct due diligence, coordinate closings, and ensure compliance with company policies—all while maintaining exceptional organization and communication in a fast-paced environment.
Key Responsibilities
- Draft, review, and manage real estate transaction documents including purchase and sale agreements, leases, amendments, and closing documentation.
- Coordinate and track all aspects of real estate transactions from inception to closing , ensuring accuracy and timely completion.
- Conduct title and survey reviews , identifying and resolving discrepancies.
- Support due diligence efforts , including reviewing leases, contracts, and corporate documentation.
- Maintain organized digital and physical files, tracking critical dates and deliverables.
- Collaborate with brokers, attorneys, clients, lenders, and title companies to facilitate smooth transactions.
- Provide administrative support including email and calendar management , scheduling, and client communications.
- Ensure all activities comply with internal policies, legal standards, and best practices.
Required Qualifications
- 3–5 years of experience as a Paralegal or Executive Assistant in commercial real estate law or transactions.
- Bachelor’s degree or equivalent experience required.
- Paralegal certification strongly preferred.
- Demonstrated ability to manage multiple priorities, meet deadlines, and adapt to shifting demands.
- Excellent organizational, communication, and collaboration skills.
- Proven ability to motivate teams and ensure projects are completed on time and accurately.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and document management systems.
