About the Job
Transportation is seeking a hard-working, dependable and motivated team member to join their team. The primary responsibility of Sr. Logistics Specialist is to work closely with our internal accounting and accounts payable teams for prompt processing of all domestic shipping documents and invoices. This position will also route inbound and outbound retail and tuxedo rental merchandise, and other goods into and out of the Houston, Hampstead, and Canadian based Distribution Centers, the shipping hub network, and other Tuxedo Distribution Centers as necessary.
What You'll Do | Key Accountabilities
• Provide world class customer service to all internal and external customers
• Obtain, review and process all shipping documentation, including for U.S. to Canada shipments
• Review and submit invoices and shipping documents to accounts payable team to ensure prompt processing and subsequent payments in accordance with agreed upon payment terms
• File all required documentation and further backup for shipments and payment of invoices
• Answer payment inquires on PO and non-PO merchandise for timely payment to our vendors and maintaining partnership
• Manage the Transportation team's email group and respond as necessary to receive emails
• Audit and code all freight invoices, both paper and electronic, for domestic shipments
• Assist with CASS freight approval process for timely payments to service providers
• Assist with all US/Canada cross border shipments
• Communicate with merchandise buyers and TMW/K&G/JAB, to accurately schedule inbound international and domestic retail and tuxedo merchandise for delivery to the appropriate distribution center to meet production goals
• Receive incoming calls from vendors and internal stakeholders in a timely and professional manner for routing instructions and other assistance
• Update Distribution Systems and TMS with all information required for visibility of inbound and outbound merchandise to and from the distribution centers for visibility to all receiving departments and merchandise teams
• Communicate inbound and outbound shipment details, as needed, across the distribution center and hub networks, to provide necessary visibility and clarity to all teams
• Prepare and distribute weekly reports to all receiving departments and merchandise teams as required
• Assign appointments to 3rd party carriers for access to our Distribution Center and inform all receiving departments with delivery times
• Monitor Transportation Providers' websites for arrival times and update Distribution Systems and TMS with accurate delivery times and seal information to all receiving departments in the Distribution Centers
• Process "spot-bids" with various transportation providers
• Collect data to assist in managing cost & service of all 3rd party transportation providers by updating contract spreadsheet
• Track all costs associated to 3rd party inbound shipments (FTL/LTL)
• Plan, schedule, and communicate OTR (Over-the-Road) routes weekly and as needed
• Perform various tasks as assigned by management
Skills & Experience
• H.S. Diploma or equivalent is required, additional education/college degree is preferred
• Ability to take initiative and work independently or with team members to accomplish defined goals in a fast-paced distribution warehouse environment
• Ability to visualize, prioritize and multi-task, dependable and reliable
• Excellent verbal and written communication skills and good command of the English language
• Ability to present in various meetings
• Demonstrate a sense of urgency to meet customer time commitments
• Excellent phone etiquette skills required
• Intermediate to advance PC skills in Microsoft Word, Excel, and Outlook
• Ability to prioritize and organize work related tasks
• Flexibility and ability to follow instructions is a must
• Ability to maintain a high level of performance, detailed and deadline oriented
• Ability to learn new skills and take on additional job responsibilities as required
• Must have the ability to communicate effectively with management and all levels within the organization
• Ability to be flexible and adapt to a changing environment which may include increased hours, days, volume of work, shifting priorities, multiple demands, staffing shortages
Reporting - Working Relationships
• Reports directly to the Transportation management team
Work Environment, Physical & Mental Demands
• Ability to sit and work at a computer keyboard for extended periods of time.
• Ability to stoop, kneel, bend at the waist, and reach on a daily basis.
• Able to lift and move up to 25 pounds occasionally.
• Must utilize visual acuity, speech and hearing, hand and eye coordination and manual dexterity necessary to operate a computer and office equipment.
• Hours regularly 40 hours per week, as work dictates, from our Houston Texas distribution center.
