Job Details
Our client, a top media and entertainment company, is seeking a Receptionist/Administrative Assistant to provide front desk and administrative support at its San Antonio office. This role involves greeting and assisting visitors, supporting managers and employees with daily office needs, managing supplies and events, and ensuring smooth office operations. The position requires excellent communication skills, strong organization, and the ability to maintain a professional and welcoming presence at all times.
Job Specifications:
- Position Type: Full-Time, Temporary (12-month assignment, always a possibility to extend or become permanent)
- Duration: October 6, 2025 - October 5, 2026
- Location (Onsite, 5 days/week): San Antonio, TX 78229
- Compensation: $22-$24/hour (depending on experience)
- Schedule: Monday - Friday, 8:00 AM - 5:00 PM
- Status: Non-Exempt (eligible for overtime)
Front Desk & Visitor Services
- Greet visitors, assist with check-ins, and notify staff of arrivals.
- Manage visitor and employee badges; coordinate with Security for access needs.
- Provide professional, polite, and efficient phone coverage.
- Assist with expense reports (if allowed as a delegate in Concur for contractors).
- Manage lost and found items.
- Distribute mail and deliveries; sign for packages.
- Send site messages to staff regarding maintenance, outages, construction, or sudden office impacts.
- Take notes on processes and ask clarifying questions as needed.
- Maintain inventory of office and kitchen supplies; order and restock as needed.
- Stock supplies, including lifting up to 20-30 lbs.
- Help plan, manage, and coordinate events.
- Manage the events calendar.
- Assist with event setup and breakdown.
- Support conference room setup for guests and site visits.
- Collaborate with Internal Communications on companywide events, activities, and communications.
- Perform AED system checks (as backup).
- Conduct emergency pods inventory checks, including expiration dates.
- Assist with crisis management session planning, scheduling, and communications.
- Support remote-to-hybrid and onsite transition activities as needed.
- Participate in new hire equipment distribution days.
- Proficiency in Microsoft Office Suite.
- Excellent verbal and written communication skills.
- Professional, polite, and approachable demeanor.
- Strong organizational and multitasking abilities.
- Comfortable coordinating site visits and setting up conference rooms.
- Ability to coordinate and lead multiple events throughout the year.
- Effective in working with Security and other teams for visitor and site management.
- Positive, high-energy, and professional presence.
- Strong interpersonal skills; confident in face-to-face and phone interactions.
- Team-oriented with initiative to learn and adapt.
- Dependable attendance - essential for front office coverage.
- Upbeat, personable, and welcoming phone personality.
- Detail-oriented with strong note-taking skills.
- Physical ability to lift 20-30 lbs. for stocking and office needs.
- Prior experience in receptionist or administrative roles within a corporate setting.
- Experience coordinating events or supporting office operations.
