Job Summary

We are seeking a detail-oriented and proactive Purchasing Coordinator to join our team. This role is essential in supporting procurement operations, ensuring timely and cost-effective purchasing of materials, supplies, and services. The ideal candidate will have strong organizational skills, excellent communication abilities, and a passion for optimizing purchasing processes.

Key Responsibilities

Coordinate and execute purchasing activities in alignment with company policies and budget guidelines.
Source vendors and negotiate pricing, terms, and delivery schedules.
Maintain accurate records of purchases, pricing, and inventory.
Monitor supplier performance and resolve issues related to delivery, quality, or pricing.
Collaborate with internal departments to forecast demand and ensure supply chain efficiency.
Prepare purchase orders and ensure proper documentation and approvals.
Track shipments and follow up on delays or discrepancies.
Assist in developing and maintaining vendor relationships.
Must be able to work in any area as needed.

Qualifications

Associates or Bachelors degree, Supply Chain, or related field preferred.
2+ years of experience in purchasing, procurement, or supply chain coordination.
Strong negotiation and communication skills.
Proficiency in Microsoft Office and purchasing software.
Ability to multitask and prioritize in a fast-paced environment.
Attention to detail and commitment to accuracy.

Preferred Skills

Background in hospitality purchasing, including food & beverage, housekeeping supplies, or event-related procurement.
Familiarity with vendor relations in a food & beverage environments.
Experience working with hospitality management systems (e.g., BirchStreet, MarketMan, or similar).
Understanding of seasonal demand planning and inventory control in hospitality settings.
Ability to manage multiple property purchasing needs or coordinate across departments like front office, kitchen, and facilities.
Knowledge of hospitality compliance standards, including health and safety regulations related to procurement.
