Preferred Qualifications Position Summary This position provides executive-level support and is responsible for efficient and effective management of the Department of Anthropology. Administrative duties include managing Department Head's correspondence and calendars, serving as a liaison with internal and external constituents, anticipating and addressing needs of the Department Head by using independent judgement. Responsibilities include creating visually appealing digital and print content to communicate department programs and events to internal and external constituents, and handling information that is sensitive, high-profile and confidential in nature. Activities and decisions are highly complex and will need significant independent action and judgement while adhering to institutional policies. Knowledge, Skills, Abilities and/or Competencies
- Excellent interpersonal, written and verbal communication skills to interact with a variety of personalities at all levels, exercising tact, confidentiality, sound judgment, diplomacy with conflict resolution, and flexibility to promote positive working relationships and job effectiveness.
- Substantially developed interpersonal, teamwork and leadership skills to successfully work with diverse groups in an academic environment.
- Demonstrated ability to coordinate and manage multiple competing projects in an organized, efficient manner by prioritizing tasks to meet deadlines.
- Ability to act independently and exercise sound judgment with sensitivity to identify matters that include higher-level management consultation.
- Knowledge of Microsoft Excel, pivot charts and tables.
- Strong problem-solving skills; ability to be a creative thinker and self-starter.
- Ability to quickly learn and have a solid knowledge of complex procedures and systems to produce reports using a variety of digital tools.
- Provide executive level support for the department head.
- Manage the department head's daily schedules and communications.
- Brief the department head, regularly, on deadlines.
- Stay abreast of current department situations and be prepared to provide insight and recommendations.
- Anticipate, initiate and coordinate administrative matters for the department head.
- Initiate and respond to requests and inquiries, both verbal and written, on behalf of the department head, upholding strict confidentiality on sensitive matters.
- Compile data in preparation of faculty third-year reviews, post-tenure reviews, promotion and tenure dossiers, program review materials, and other projects as needed.
- Manage and assist with faculty and staff searches as well as other administrative matters related to new and existing faculty and staff.
- Create surveys using tools such as Qualtrics.
- Maintain accurate and current information on Department website, including news items and program information.
- Post relevant departmental information on social media accounts.
- Create promotional materials for departmental events, including visiting speaker posters and event invitations.
- Create/update departmental photo posters of faculty/staff/students.
- With input from department head and faculty, generate semester course poster using a variety of resources.
- Take pictures/videos during special departmental events.
- Manage REACH digital display system to promote departmental achievements and events.
- Organize and host the annual departmental photo contest;curate and archive photos for promotional use
- Manage dept email listservs
- Collaborate with DAR to research donors, write custom stewardship letters
- Create newsletter content and coordinate distribution
- Design branded departmental marketing materials such as flyers, posters, anddigital content
- Serve as the Franklin Works point of contact.
- Serve as the liaison for the departments with internal and external constituents.
- Serve as the principal point of contact between the departments and other administrative offices, donors, alumni, parents, other institutions and the public.
- Manage, coordinate and record regular administrative meetings scheduled within the departments (e.g. faculty meetings).
- Plan and execute departmental events including award and graduation ceremonies, faculty/student meetings, guest lectures, and miscellaneous programming including coordinating
travel, scheduling, & marketing. - Oversee asset management & key control.
- Coordinate travel arrangements for faculty candidates and external speakers.
- As a member of the staff in the department, this position supports the faculty. This position either provides the requested customer service or refers it to the appropriate staff member to respond. In cases where a service is requested that falls outside of the normal duties, this position will either provide the service or consult with the fiscal operations manager as to possible alternative resources.
- Collegiality, as well as professional and ethical conduct, is expected of all employees when engaging with colleagues, faculty members, students, administrators, and members of the public.
- Serve as Departmental Telephone Services Representative.
- Train student workers in the front office.
- Approve and make necessary corrections to timesheets.
- Assigns tasks and provides timely follow up.
- Provide backup coverage to front office.
- Conduct performance evaluations
- Serve as backup to the Graduate Program Assistant
