Now Hiring: Office & Client Experience Coordinator

At FASTSIGNS Toledo, we don't just create signs, we create impact. To keep our team running strong, we're looking for an Office & Client Experience Coordinator who will be the backbone of our operations and an ambassador to our clients.

This isn't your typical admin job. We're looking for someone who is organized, personable, and loves solving problems before they become problems. You'll handle the nuts and bolts of the office, from QuickBooks entries to payroll hours, while also being the friendly voice that greets clients and visitors.

What You'll Do

• Answer phones and welcome clients/visitors with professionalism and positivity
• Manage payroll hours entry, AR collections, deposits, and reconcile accounts
• Enter vendor invoices into QuickBooks and handle W9 collections/reporting to CPA
• Oversee city tax & sales tax reporting
• Coordinate insurance quotes, COIs, and license applications
• Keep the office organized (mail, filing, records, etc.)
• Support the team with day-to-day operations and occasional projects

What We're Looking For

• Mid-level experience: you've handled office/admin work before and are confident with QuickBooks Online & GSuite
• Problem-solver: you see challenges as opportunities to make things smoother
• Personality + professionalism: comfortable on the phone and in person, you're approachable and reliable and we want to hear your smile!
• Tech savvy: confident using computers, spreadsheets, and cloud-based systems
• Growth mindset: open to advancing into sales or higher-level admin opportunities

Perks & Pay

• $18$20/hr, based on experience
• MondayFriday schedule, no weekends
• Paid holidays & PTO after 90 days
