Title: OT and PT Administrative Assistant
Reports To: OT and PT Coordinator
Job Goal: General management of office space and materials. Provide support for itinerant occupational and physical therapists housed at office.
Qualifications:
  1. Excellent interpersonal, email and telephone skills for effective and efficient professional communications with staff
  2. Excellent organizational skills
  3. Knowledge of office equipment, including phone systems, copiers, printers, faxes, and computers
  4. Excellent computer skills, including Microsoft Office Word, Excel, Access, and Google applications
  5. Maturity to maintain confidential information
  6. Ability to self direct and make decisions in the absence of a supervisor
  7. Ability to multitask and prioritize projects and activities on a daily basis
  8. Ability to maintain a positive and flexible attitude toward daily responsibilities and schedule
Duties and Responsibilities: *Nothing in this job description restricts management's right to assign or reassign duties and responsibilities to this job at any time.
  1. Act as first line of communication for therapists requiring general information or support
  2. Act as liaison for therapists with SASED staff, member district staff and parents
  3. Facilitate messages, directing calls and getting information to appropriate staff
  4. Maintain general knowledge of therapy department procedures and documentation requirements
  5. Maintain and update department procedures manual
  6. Track therapist absences, provide absence forms to therapists
  7. Maintain and update staff lists, schedules and contact information for therapists, contacting them in the field as the need arises
  8. Maintain general office order, office mail and organization of materials and equipment including tracking of OT/PT therapeutic equipment and supplies.
  9. Maintain and update lists of equipment assigned to therapists including computers and key fobs
  10. Schedule conference room for professional development and staff meetings for department
  11. Draft purchase orders, monitor and organize office supplies, therapy supplies, resources and equipment
  12. Maintain sign out systems, manage and update data base for resources, therapy supplies and equipment
  13. Maintain master copy of test manuals
  14. Manage and update database for inactive files; manage inactive files including filing and shredding of old files
  15. Manage and review related service logs files in associated applications, including quarterly audits
  16. Manage and update building support logs in associated applications, including quarterly audits.
  17. Maintain, revise and distribute report templates used by therapists
  18. Support SAC regarding shared responsibilities with other departments
  19. Attend SAC admin assistant meetings
Physical Requirements:
The role requires the ability to:
  • Move between office spaces, classrooms, and school facilities.
  • Sit for extended periods while answering phones, greeting visitors, and completing administrative tasks.
  • Lift and carry up to 20 pounds, such as office supplies, files, or equipment.
  • Use fine motor skills for typing, filing, and operating office equipment, including computers and printers.
  • Have clear vision and hearing to process information, communicate with staff, students, and parents, and handle office tasks effectively.
  • Adapt to varying work environments, including office, classroom, and outdoor areas for student supervision or events.
Reasonable accommodations may be provided to enable individuals with disabilities to perform essential functions.
Terms of Employment: 214 day work year, 7.5 hours per day, at compensation set by salary range established by SASED Board of Directors
Evaluation: Performance will be evaluated in accordance with the SASED Board policy on evaluation.
