The Patient Care Specialist plays a crucial role in ensuring a seamless and exceptional patient experience. This position involves collaborating with all members of the healthcare team to uphold our organizational mission and deliver outstanding customer service while adhering to operational processes. Contribute to achieving our clinical and service goals as part of a dedicated team.
Schedule: Monday - Friday, 7am-3:30pm PST
Location: 1812 South J Street STE, Tacoma, WA 98405
Key Responsibilities:
- Collect and verify accurate patient information, including insurance details
- Conduct insurance verification on the date of service
- Secure patient signatures on required documentation
- Upload valid government-issued ID and insurance cards
- Ensure an accurate occupational medicine registration process
- Manage and maintain medical records
- Promptly document referrals
- Act as the first point of contact for patients, fostering a welcoming atmosphere
- Exhibit empathy, professionalism, and efficiency in all interactions
- Schedule appointments and procedures following established protocols
- Utilize various computer and phone systems to assist patients
- Document patient information in the Electronic Health Record (EPIC)
- Educate patients about their insurance responsibilities and referral processes
- Communicate effectively with patients, families, and healthcare providers
- Update clinical staff regarding any scheduling changes
- Adhere to administrative policies to maintain quality care
- Efficiently scan documents and manage fax communications
- Participate in the onboarding of new team members as needed
- Provide support for other duties as required
- Stay informed about current medical requirements and maintain patient confidentiality
- Complete any new clinical competencies as mandated
- Independently handle tasks while also assisting with clinical duties as necessary
- Perform additional tasks as assigned

Required Qualifications:
- High School Diploma/GED or higher
- 1+ years of experience in a medical office, including scheduling, patient check-in/out, insurance verification, and medical records management
- Intermediate level of computer skills, including MS Word, Excel, and Outlook
Preferred Qualifications:
- Familiarity with medical terminology
- Experience with Epic EMR software
Essential Soft Skills:
- Ability to work independently with sound judgment
- Strong collaboration skills with healthcare providers
- Excellent organizational and time management abilities
- Capacity to multitask and meet deadlines in a fast-paced environment
- Exceptional verbal and written communication skills
