Legal Intake Coordinator
LHH Recruitment Solutions is partnering with a Portland law firm to hire a personable and detail-oriented Intake Specialist. This role involves speaking with prospective clients, gathering key information about potential cases, managing onboarding documents, and ensuring all details are accurately entered into the firm's system. The ideal candidate is an empathetic and professional communicator who thrives on helping others and can provide calm, compassionate support during stressful situations.
Responsibilities:
- Serve as the first point of contact for prospective clients, evaluating inquiries and determining case fit
- Communicate with empathy and professionalism while gathering essential case details
- Schedule consultations and coordinate appointments to support attorneys' calendars
- Manage client onboarding by sending standard intake documents and ensuring all information is accurately entered into the system
- Maintain organized client records and assist with ongoing case data updates
- Collaborate with internal teams to improve processes and support overall firm growth
- Perform general administrative duties such as drafting correspondence, maintaining spreadsheets, and managing emails
Qualifications:
- High school diploma required; Bachelor's degree preferred
- 12 years of experience in customer service, intake, or sales, ideally within a legal setting
- Strong communication and listening skills with excellent attention to detail
- Demonstrated empathy and professionalism when working with clients
- Proficient in Microsoft Office (especially Excel); experience with CRM or case management software preferred
- Legal background - particularly in personal injury - strongly preferred
