Office Support Specialist

We are seeking a detail-oriented and customer-focused office support specialist to join our team. This role is pivotal in ensuring high levels of customer satisfaction through timely communication, accurate order processing, and effective coordination across departments.

Key Responsibilities

• Monitor customer satisfaction and promptly address inquiries, concerns, and service issues via phone, email, fax, and online portals
• Receive and review incoming orders for accuracy; enter orders submitted through fax, email, voicemail, or online systems
• Process and verify outgoing orders to ensure precision and completeness
• Perform general office support tasks including data entry, document scanning, filing, and uploading
• Serve as receptionist when needed, greeting visitors and handling incoming calls
• Manage office supply inventory and place orders as necessary
• Assist with scheduling meetings and managing calendars
• Conduct outbound "cold" and "warm" calls to existing and potential customers to promote products and services
• Act as a liaison between customers and internal departments such as manufacturing, planning, and quality assurance
• Maintain regular communication with clients to ensure expectations are met
• Foster strong relationships between customers and company leadership

Required Skills

• Order processing and data entry
• Professional email communication
• Supplier and customer relationship management
• Proficiency in Microsoft Office Suite
• Familiarity with purchase orders and ERP/CRM systems
• Aerospace industry knowledge required

Qualifications

• Minimum 3 years of customer service experience in a corporate environment
• Strong phone presence and interpersonal communication skills
• Experience with order entry systems is a plus
• Ability to interpret blueprints or technical drawings is a bonus
• Tech-savvy and comfortable navigating digital tools and platforms

Pay and Benefits

The pay range for this position is $25.00 - $35.00/hr.
