JOB SUMMARY

Participates as an essential member of the Health Information Management Department by ensuring that an individual's health data and information is accurate, complete, accessible, confidential, and secure. The Senior HIM Specialist is responsible for assisting with the collection, processing, maintenance, disclosure, and transportation of protected patient health information via paper and/or electronic format in a manner that is in compliance with organizational, departmental, and regulatory requirements. Provides input, suggestions, and follow-up to the team's leadership to ensure the accuracy and completeness of all assigned duties and tasks without compromising the integrity of patient information.

EXPERIENCE AND EDUCATION

Required

• Education: High School Diploma or equivalent

• Experience:

  • 2 years of healthcare experience and proof of completed vocational certificate or degree supporting the HIM field

  • or 3 years of healthcare, business, and/or HIM experience in lieu of vocational certificate

  • Additional education in HIM, Business, or related field may be considered in lieu of experience

JOB DUTIES

General Functions

• Functions as a 'superuser' for new software applications or upgrades and assists in training team members

• Provides backup coverage as needed

• Utilizes EMR and other healthcare systems accurately

• Performs and monitors special projects to meet deadlines

• Communicates concerns and complaints to HIM Management

• Fosters a cooperative, productive team environment and promotes engagement

• Protects the privacy and security of medical records

• Provides outstanding customer service to all HIM customers and departments

ROI Functions

• Verifies, updates, maintains, and retrieves patient health information

• Processes release of information requests in compliance with regulations

• Handles radiology film library functions and uploads external media

Scanning Functions

• Prepares, indexes, and scans documents into EMR

• Performs quality checks on scanned documents

Transcription Functions

• Monitors and corrects transcribed documents using EMR and transcription systems

EMPI Functions

• Reviews, merges, and updates patient demographic and record information

Record Management Functions

• Retrieves, delivers, and re-files patient records using electronic chart locator

Courier Functions

• Transports patient health information and medical records as needed

• Must pass TX DOT background check for operating state-owned vehicle

Inpatient Functions

• Re-analyzes records for completeness and applies deficiencies

• Coordinates weekly and daily suspension processes

• Reports audit results and prepares records for discharged patients

Additional Responsibilities

• Adheres to all UTSW and departmental policies

• Cultivates a shared vision aligned with UTSW's mission

• May include duties such as interacting with patients, maintaining patient records, or supporting research documentation

• Performs other duties as assigned
