Executive Administrative Assistant

As an executive admin, you will serve as the critical support and executive partner, ensuring the effective management of priorities and tasks. You will be responsible for organizing and maintaining documents, presentations, and action plans, as well as scheduling and coordinating meetings. You will also manage complex calendar scheduling and travel arrangements, acting as a liaison between executives, internal teams, and external partners. Your role will involve administrative operations such as processing expense reports and supporting internal team events.

Responsibilities

  • Serve as the right hand to assigned executive, effectively managing priorities.
  • Anticipate needs and proactively manage follow-ups, reminders, and task tracking.
  • Organize and maintain critical documents, presentations, and action plans.
  • Create a daily view of priorities and top goals, realigning the schedule daily.
  • Schedule, prepare agendas, and coordinate logistics for meetings.
  • Attend meetings to capture detailed notes, tracking key decisions and action items.
  • Ensure timely follow-up and documentation distribution post-meetings.
  • Own complex calendar scheduling across multiple time zones.
  • Plan, coordinate, and book domestic and international travel.
  • Prepare briefing materials ahead of travel or meetings.
  • Act as a liaison between executives, internal teams, and external partners.
  • Manage inbound and outbound communications, filtering and prioritizing as needed.
  • Maintain a spotless email inbox and create pre-send drafts.
  • Ensure executive is briefed and prepared ahead of meetings.
  • Process expense reports, invoices, and reimbursements accurately.
  • Support internal team events with logistics and coordination.
  • Maintain confidentiality and exercise discretion in handling sensitive information.

Skills and Qualifications Required

  • Bachelors degree in Business Administration, Communications, or related field preferred.
  • 3+ years of experience supporting executives, preferably in manufacturing, food & beverage, or CPG industry.

Pay and Benefits

The pay range for this position is $25.00 - $30.00/hr.

Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
