Job Overview
Platinum Restoration is seeking a detail-oriented and proactive Claims Coordinator to manage insurance claim documentation and facilitate effective communication between clients, adjusters, and our internal team. In this role, you will ensure timely processing of insurance claims, maintain accurate records, and support smooth restoration project execution. This position is perfect for someone with strong administrative skills, a keen eye for detail, and an understanding of the insurance or restoration industry.

Key Responsibilities

• Claims Management
  • Open and track new claims in the company's CRM system.
  • Collect, organize, and upload supporting documents such as photos, contracts, estimates, work authorizations, and completion certificates.
  • Monitor claim status and follow up with insurance carriers and adjusters to ensure timely progression of claims.
• Communication & Coordination
  • Act as the primary liaison between the company and insurance adjusters.
  • Respond to client inquiries regarding claim status.
  • Coordinate with project managers to verify that claim documentation is complete and accurate.
• Invoicing & Collections Support
  • Submit initial estimates and supplements to insurance platforms (e.g., XactAnalysis, Alacrity, DASH).
  • Track payments and assist accounting with follow-up on unpaid or delayed claims.
  • Reconcile payments against estimates, identifying any discrepancies.
• Documentation & Compliance
  • Maintain organized, up-to-date files for each job to meet program and insurance compliance requirements.
  • Ensure all required signatures, permits, and customer approvals are obtained and filed appropriately.
• Process Improvement
  • Recommend enhancements to claims workflows to improve speed, accuracy, and efficiency.
  • Stay informed on industry guidelines, compliance requirements, and insurance software updates.

Qualifications

• Minimum 2 years of administrative or claims-related experience in the restoration, construction, or insurance industries.
• Familiarity with insurance claims platforms (e.g., Xactimate, Symbility, XactAnalysis) preferred.
• Excellent written and verbal communication skills.
• High attention to detail with strong organizational and time management abilities.
• Ability to work independently and handle multiple priorities in a fast-paced environment.
• Proficiency with Microsoft Office Suite and CRM systems.

Schedule

• Full-time position
• Monday to Friday, 8:00 AM - 5:00 PM
• Occasional overtime may be required to meet deadlines.

Work Location

• In person, based in Elyria, OH
• Occasional on-site visits for job file verification may be necessary.
