Job Description
A Day in the Life:
The Legal Assistant will support members of the Litigation and Operations & Strategy teams in Hertz's Legal Department. The Legal Assistant works closely with senior members of the legal department. The role requires maintaining the highest level of confidentiality and handling highly sensitive material. The position is staffed in the Estero, FL office Monday through Thursday and works remotely on Fridays.
This role supports the Legal Department's ability to be more productive and efficient in providing legal advice to the company.
The starting salary is $60K; commensurate with experience.
What You'll Do:
  • Support the Operations & Strategy team by administering the day-to-day operation, under the substantive supervision of an attorney, of workstreams relating to privacy matters, trademark portfolio management and infringement matters, regulatory compliance, contract administration, and other legal matters.
  • Support the Litigation team by assisting in managing litigation holds, distributing new complaints to relevant legal teams, assisting in responding to government subpoenas for documents, assisting in collecting documents for discovery, preparing PowerPoint presentations for meetings, and other litigation support roles similar to a paralegal.
  • Communicate effectively up, down and across the company to gather information needed by the team, and to share information as appropriate. Requires gaining a thorough knowledge of company policies, practices and people, particularly as it relates to the work of the teams supported. Also requires building and maintaining good relationships with internal and external contacts.
  • Manage outside counsel billing and other invoicing for the teams supported, using the Legal Department's matter management and bill paying technology tools.
  • Additional tasks related to litigation and operations/strategy matters may also be assigned. This includes items such as:
    • Performing basic factual and records research.
    • Support institutional knowledge preservation and transfer by collating, indexing and filing key legal documents and guidance.
  • Provide general administrative support to the Litigation and Operations & Strategy teams within the Legal Department:
    • Manage team members' schedules and calendars.
    • Coordinate travel arrangements and prepare thorough itineraries.
    • Prepare expense reports (in Concur) accurately, on a timely basis, and consistent with company policies.
  • Project tasks and project management responsibilities, as assigned from time-to-time.
  • Be a vocal advocate and champion for Hertz's culture of adhering to strong ethical standards.
What We're Looking For:
  • A High School diploma or GED required; Legal Secretary/Paralegal Certificate or Associates degree preferred.
  • 3-5 years' experience of increasing responsibility as an Administrative Assistant or Legal Assistant in a law firm or corporate environment.
  • Demonstrated problem-solving ability.
  • A willingness to dig-in and learn new technology is critical. This role requires digital fluency or - at a minimum - a willingness to learn.
  • High proficiency in Microsoft Office programs required (Outlook, PowerPoint, SharePoint, Word, Excel, Teams).
  • PowerPoint expertise - including a strong eye for creating attractive, well formatted presentations - is a significant plus.
  • Experience with the use of an eBilling/Matter Management system (e.g., LegalTracker) a plus.
  • Familiarity with legal research databases (e.g., Westlaw/LexisNexis) a plus.
  • Notary public certification is a plus but not required.
