The Campus Grants Management Team (CGMT) is a dynamic and growing unit within the Office of the Vice Provost for Research. We provide cradle-to-grave grant management services to select departments, partnering closely with faculty to craft competitive proposals and manage awards with precision and care.

We're looking for a Grants And Contracts Administrator who thrives in a fast-paced environment, is a critical thinker, and brings a customer-service mindset to research administration. This role is remote-eligible for candidates residing in one of the following states or districts: Arizona, California, Colorado, Connecticut, Florida, Georgia, Hawaii, Illinois, Indiana, Maryland, Massachusetts, Michigan, Maine, Montana, New Hampshire, New Jersey, New York, North Carolina, Ohio, Pennsylvania, South Carolina, Tennessee, Texas, Virginia, Washington (State), Washington, DC.

What You'll Do

Pre-Award (30%)

  • Partner with faculty to prepare and submit proposals aligned with sponsor and Duke guidelines.
  • Coordinate and review proposal components including biosketches, budgets, and justifications.
  • Ensure timely routing and compliance with submission deadlines.
  • Manage subcontract processes with collaborators and the pre-award office.

Post-Award (50%)

  • Oversee budget, effort, and compliance throughout the award lifecycle.
  • Provide guidance on budget revisions and reporting requirements.
  • Reconcile budgets, manage cost transfers, and close out projects.
  • Coordinate sub-recipient agreements and ensure sponsor reporting compliance.

Administrative (20%)

  • Develop project management plans and monitor cost-sharing obligations.
  • Apply federal and university rules to manage effort and labor distribution.
  • Submit reports to central and unit management as needed.

What You Bring

  • Bachelor's degree required; research or grants education/certification preferred.
  • Demonstrated experience in both pre-award and post-award grant administration, including proposal development, budget preparation, award setup, financial reconciliation, and closeout.
  • Strong analytical skills and attention to detail.
  • High proficiency in Excel and MS Office Suite.
  • Excellent written and verbal communication skills.
  • Ability to think critically and make sound independent decisions.
  • Knowledge of federal and Duke policies related to sponsored research.
  • Experience with Duke systems (SPS, SAP, Duke@Work, grants.duke) is a plus.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Customer-service mindset and ability to work with diverse groups of people.
  • Agility and flexibility to adapt to changing technologies and regulations.

Training Requirements

Completion of Duke's Research Administration Academy (RAA) and other required trainings within the first 612 months of hire. Ongoing certification and continuing education are expected.

Anticipated Pay Range

Duke University provides an annual base salary range for this position as USD $59,829.00 to USD $96,900.00. Duke University considers factors such as (but not limited to) the scope and responsibilities of the position; candidate's work experience, education/training, and key skills; internal peer equity; as well as market and organizational considerations when extending an offer.
