Executive Assistant Position
Hiring an executive assistant for an exciting team at a large tech company. Must work onsite in Sunnyvale, CA.
We are seeking a highly motivated and customer-obsessed executive assistant to support customers and technology. This critical role requires a strong focus on execution and will be responsible for managing a high volume of tasks, including complex calendar management and scheduling. The executive assistant will need to prioritize effectively amidst a flood of information and requests, ensuring the appropriate level of urgency is given. This role also involves monitoring and tracking VP meetings, priorities, and emails, acting as a proxy when necessary, and managing travel, expenses, and all administrative support functions. The executive assistant will also handle multiple tasks and action items, documentation, follow-up, and preparation for the VP, ensuring appropriate and timely action on deliverables.
Responsibilities
- Manage complex calendar scheduling and prioritize tasks effectively.
- Monitor and track meetings, priorities, and emails for the VP.
- Act as a proxy for the VP when necessary.
- Manage domestic and international travel arrangements.
- Handle expense reports and all administrative support functions.
- Coordinate events with catering for groups of 20-50.
- Ensure documentation follow-up and timely action on deliverables.
Essential Skills
- 7 years of experience supporting executive management, VPs, high-level VPs, or CEOs.
- Strong working knowledge of Microsoft Office Suite and Outlook.
- Exceptional verbal and written communication skills.
- Ability to make smart and timely decisions under pressure.
- High levels of integrity and discretion in handling confidential information.
Additional Skills & Qualifications
- Bachelor's degree required.
- Ability to complete a high volume of tasks with little guidance.
- Impeccable attention to detail.
- Ability to switch gears quickly and react with urgency to situations.
Work Environment
The position requires a commitment of 40 hours per week, from 9am to 5pm. It is a seasonal role with the potential for both extension and conversion. The work environment is dynamic, centered around customers and technology, offering a chance to work closely with executive professionals.
Job Type & Location
This is a contract position based out of Sunnyvale, California.
Pay and Benefits
The pay range for this position is $35.00 - $38.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
