Customer Support Specialist

Job Overview

Key Responsibilities

• Compose, prepare, and proofread correspondence, memos, and reports while maintaining confidentiality as needed.
• Create and maintain proper response letters for various incoming correspondence.
• Organize and update files to ensure they are accessible and well-maintained, including purging unnecessary documents and establishing new filing systems when required.
• Accurately enter customer order information into the in-house computer system.
• Process customer details efficiently to provide high-quality service.
• Analyze customer records and make necessary corrections in accordance with company guidelines.
• Build and nurture strong relationships with customers.
• Provide quotes for jobs to customers via phone or email.
• Contact customers to obtain any missing information to complete their files.
• Confirm and coordinate shipping instructions with the packaging team.
• Verify and confirm shipping methods and delivery dates.

Qualifications

• Proven experience in a customer service position, ideally within a sales context.
• Excellent communication skills with the ability to express ideas clearly and persuasively.
• Strong negotiation skills focused on establishing win-win outcomes.
• Experience in account management is preferred.
• Ability to work collaboratively within a team while also being self-motivated and proactive.
